General Terms & Conditions of Hire

Bookings & Payments

  • A booking is only confirmed once full payment of the rental amount reflected on the quote or invoice has been received, unless otherwise agreed in writing.

  • Bookings over long weekends or peak periods may be subject to a minimum two-night hire.

Collection & Identification

  • Proof of identification is required upon collection of hired equipment. Equipment will not be released without a copy of one of the following:

    • Green ID book

    • Smart ID card

    • South African driver’s licence

    • Passport

  • Proof of residence may be requested for larger bookings.

Use of Equipment

  • All equipment is used entirely at the hirer’s own risk.

  • Lowveld Tent Rentals accepts no responsibility for any loss, damage, injury, or consequential loss arising from the use or setup of hired equipment.

The following rules must be adhered to at all times:

  • No smoking inside tents.

  • No cooking inside tents.

  • No fires, gas, or open flames inside tents. Only electric lighting is permitted.

  • Tents must not be erected on rocky ground, areas with exposed roots, or ground covered with thorns or sharp objects.

Failure to comply may result in deductions from the damage deposit.

Returns & Refunds

  • No refunds or discounts will be given for early returns, late collections, or non-collection of equipment.

Lowveld Tent Rentals reserves the right to amend these terms and conditions at any time without prior notice.

Cancellations & Refund Policy

  • More than 48 hours before the hire date:

    • 50% of the rental amount will be refunded

    • The full damage deposit will be refunded

  • Less than 48 hours before the hire date:

    • The rental amount is non-refundable

    • The damage deposit will be refunded

  • Failure to collect equipment without prior notice will be treated as a cancellation.

Refundable Damage Deposits

  • A refundable damage deposit is required and will be returned once all equipment has been inspected and confirmed to be in good condition.

  • Deposits are refunded via the same payment method used for the booking (bank transfer or card).

  • Please allow time for inspection before refunds are processed.

Deductions may be made from the deposit in the following cases:

  • Damage to equipment

  • Equipment returned dirty, wet, or requiring excessive cleaning

  • Late returns or returns outside agreed collection times or business hours.

Lost or Stolen Equipment

  • Any lost or stolen equipment remains the responsibility of the hirer until full replacement costs have been paid.

  • Rental charges will continue to accrue on missing items until replacement payment is received in full.
